GUIDELINES






SCOPE OF THE GRANT

The Sonntag Photobook Grant supports one FLINTA artist (female, lesbian, intersex, non-binary, trans, agender) with the publication of a photobook in partnership with Replika Publishing.

The award consists of:
  • The production and publication of a photobook by Replika Publishing
  • A print run of 350-500 copies, of which 50 copies are provided to the artist
  • A book launch event in Berlin hosted at Bildband Berlin
  • A €300 travel allowance and 2 nights accommodation for the selected artist


The open call is aimed at completed or advanced stage photographic projects that are ready to be edited and developed into a book publication.



ELIGIBILITY


Submissions are open to self-identified FLINTA artists of any nationality or location, aged 18+. By submitting, participants confirm they are part of the FLINTA community.

Close friends, family members, or collaborators with ongoing personal or professional relationships with either Sonntag Grant or Replika Publishing are not eligible to apply.



ACCEPTED WORK


  • All forms of photographic work are accepted
  • Projects must be completed or at an advanced stage suitable for photobook production
  • Supporting materials such as text or archival elements may be included where relevant
  • Due to production constraints, the final publication will be a printed photobook. Audio, film, or other media requiring additional formats cannot be included in the production, though they may be referenced within the book (e.g. through QR codes) where appropriate
  • AI-generated images are not accepted




SUBMISSION AND FEES

  • Submissions open on April 1, 2026, and close at midnight on May 31, 2026 (Berlin/CET time)
  • A submission fee of €10 is required to help cover costs
  • The fee is non-refundable under any circumstance
  • Submissions must be made via the official form
  • All required documents must be submitted for the application to be considered




SELECTION PROCESS

Submissions will be reviewed in a two-step process: an initial long-list review, followed by a final jury decision. The jury consists of the two directors of Sonntag Grant and Replika Publishing respectively. Decisions are final and not subject to appeal.

Submissions will be reviewed based on:

  • Clarity and strength of the idea – Is the project clearly described and well thought out?
  • Strength of visual language – Are the images compelling, however they’re made?
  • Original perspective – Does the work bring something fresh or thoughtful?
  • Suitability for photobook development – Does the project translate convincingly into book form in terms of sequencing, narrative, and visual coherence?
  • Publishing impact – Does the project align with the aim of supporting work that might not otherwise find a path into publication?




COPYRIGHT AND USAGE RIGHTS

  • Applicants confirm that all submitted work is their own and that they hold full copyright. 
  • Applicants are responsible for securing any necessary permissions for depicted people, locations, or third-party content.
  • By submitting, applicants grant Sonntag Grant and Replika Publishing non-exclusive rights to use selected submitted materials for:
                   - Promotion of the open call and award
                   - Websites, social media, newsletters, and press materials
                   - Archival and editorial purposes
  • Materials may be cropped or formatted as needed while respecting the artist’s intent. Artists will always be credited
  • The selected artist agrees to credit Sonntag Grant and Replika Publishing when promoting the book and related events
  • The selected artist retains copyright to their images. For the purpose of producing, publishing, and distributing the photobook, the artist grants Replika Publishing the necessary rights to edit, design, print, and distribute the publication. The book design, layout, and typography created by Replika Publishing remain Replika’s intellectual property
  • If a further edition or new publication of the work is considered, the artist and Replika Publishing will first discuss together. If Replika does not produce a further edition, the artist remains free to publish the work elsewhere, but the original design and layout may not be reused without permission




AWARD CONDITIONS AND COLLABORATION

  • The selected artist will collaborate with Replika Publishing on the editorial development and production of the photobook
  • Production decisions (design, format, printing, timeline) will be made jointly between the artist and Replika Publishing
  • The artist will receive 50 copies of the published book
  • If collection in Berlin during the launch event is not possible, shipping will be arranged
  • After completion of the process, the selected artist will fill an “Award Report” form provided by Sonntag Grant (which may ask for process feedback, a short statement for public use, etc.)




ALLOWANCES AND REIMBURSMENTS


  • The award consists of the production and publication of the photobook and cannot be exchanged for a monetary alternative
  • Sonntag Grant will arrange and cover two nights of accommodation for the artist in connection with the launch event. This accommodation is provided in kind and cannot be exchanged for a cash payment or alternative arrangement
  • Travel costs related to attendance at the launch event will be reimbursed by Sonntag Grant up to a maximum of €300, upon submission of valid receipts. If the actual travel costs are lower than €300, only the documented amount will be reimbursed. Any remaining amount will not be paid out. Any amount above €300 will not be reimbursed




DATA HANDLING

We retain submission and payment data for a limited period in accordance with data protection regulations. Please refer to our Privacy Policy for full details.



DISQUALIFICATIONS

We reserve the right to disqualify applicants or withdraw the grant if:
  • Submitted work is found to infringe on another person’s rights
  • False or misleading information is provided
  • The artist fails to engage in the production process in good faith
  • The participant is found to have violated these terms




CHANGES TO TERMS

We reserve the right to update these Terms & Conditions at any time. Any major changes will be communicated clearly on our website.
